How it works

Nothing here is a black box. Here’s exactly how your Google review replies get written.

You’re trusting something to speak publicly on your business’s behalf — you deserve to know precisely how that works, not just “AI does it.” Every stage, in order, nothing skipped.

01

We watch your profile

REPLYfairy connects to your Google Business Profile and checks for new reviews continuously throughout the day. The moment one lands — a five-star thank-you or a frustrated complaint — it’s monitored, read and moves to Stage 2. You don’t have to open Google, you don’t have to remember, and nothing sits unnoticed for a week because everyone got busy.

If you manage more than one location, every location is watched the same way, on the same schedule — no location quietly falls behind because it wasn’t top of mind that day.

02

AI drafts your reply

Written in your brand’s voice, not a generic template

When you are onboarded, we capture your brand tone i.e. you tell us how your business actually talks to customers — the tone, what you’d never say, how formal or casual you are. REPLYfairy then drafts every reply using that guidance, and creates a unique reply to every review. Its not pre-templated response, a unique reply is drafted every time.

Industry-aware, not one-size-fits-all

A review mentioning “pain” means something different at a dental clinic than it does at a hair salon. REPLYfairy’s drafting is tuned to what actually matters for your type of business.

03

You stay in control

Every business sets its own threshold. Straightforward, clearly positive reviews can be approved automatically if you want. Anything below your threshold, or anything the system isn’t confident handling on its own, comes to you directly with the original review, the drafted reply, a plain-English reason it was sent to you, and three options: Approve, Edit, or Reject.

If you’ve already replied yourselfSometimes you’ll reply to a review directly through the Google app before REPLYfairy gets to it. It checks for that before it ever posts anything, specifically so it never overwrites a reply you’ve already written.

04

It posts, and you get proof

Once approved — automatically or by you — the reply posts to the review on your live Google Business Profile. The reply is posted “As You”.

Every month, you’ll get a plain-English email: how many reviews came in, your average rating and how it’s trending, what percentage got a reply, how fast you typically responded, and a couple of highlights worth reading.

The question underneath the question

What happens with a genuinely difficult review?

A review alleging something serious — a safety concern, a legal threat, anything the system isn’t confident handling — is never auto-approved, regardless of your threshold setting. It’s always sent to you, with the specific reason clearly stated, so you can decide how to handle it.

Want to see this on your own profile?
